Privacy Policy
Effective from 10 October 2026
Klienku is an app for insurance agents to manage clients, activities, sales pipelines and meeting schedules. This policy explains what data we collect, what it is for, and how we protect it, in line with Indonesia's Law No. 27 of 2022 on Personal Data Protection.
Data we process
- Agent account data: name, email and agency information.
- Client data entered by the agent: name, contact details, date of birth, family members, policies, notes and activities. The agent is responsible for having a lawful basis (for example the client's consent) to store this data.
- Booking data: name, WhatsApp number, email (optional) and notes that a visitor fills in when booking a time.
- Meeting recordings: audio recorded or uploaded by the agent after the client agrees, together with its transcript and summary.
- Prospect sign-up form: name, date of birth, gender, occupation, company field, WhatsApp number and email (optional) that a prospect fills in themselves, to be contacted by the agent who shared the form.
- Waitlist: name, WhatsApp number and agency filled in on the home page.
Google data (Google Calendar)
If an agent connects Google Calendar, Klienku asks for permission to:
- See busy/free times in the agent's calendar, to close booking slots that clash.
- Show the agent's calendar events (title, time, location, meeting link) on Klienku's Calendar and Booking pages, to that agent only. Events are read straight from Google every time the page opens and are not stored on Klienku's servers.
- Create and delete events for bookings made through Klienku, including a Google Meet link and an invitation to the booker's email.
Klienku's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google data is not sold, not used for advertising, not used to train AI models, and not shared with anyone except as needed to run the features above. Access tokens are stored encrypted, and the agent can disconnect at any time from the Booking page or from their Google account settings.
What the data is used for
- Showing reminders (birthdays, premiums, follow-ups), pipelines and activity reports to the agent and, as permitted, their leader.
- Scheduling meetings and sending calendar invitations.
- AI features: tidying activity notes, drafting messages and summarizing meetings. Only the data needed for that task is sent to the AI provider.
Third parties that help us
- Supabase (database and file storage, servers in Singapore)
- Vercel (app hosting)
- Anthropic (AI for summaries, message drafts and activity logging)
- Groq (turning voice recordings into text)
- Google (Calendar and Meet, if the agent connects them)
These providers only process data to run the Klienku service and don't use it for their own purposes.
Storage and deletion
- Meeting audio is kept for at most 30 days, then deleted automatically. The agent can delete it sooner.
- Client data is kept while the agent's account is active. The agent can delete data at any time.
- Data is encrypted in transit and at rest. Access is limited by role (agent and leader).
Your rights
You have the right to ask for access to, correction or deletion of your personal data, and to withdraw your consent. If you are an agent's client, you can also contact your agent directly.
Contact
Klienku is run by Philip Mulyana. Privacy questions or requests can be sent through the agent who uses Klienku.
